As Anallergo grew, the need for a more efficient quality management system became apparent. The limitations of their existing processes made it difficult to manage change control and document handling in a centralized manner. Recognizing the need for a robust eQMS to meet their quality standards, Anallergo began searching for a solution to streamline their workflows and support their growth. Alessandro explains:
“We realized that to keep up with our quality standards, we needed a more robust solution than our current setup. The limitations of our current system made it clear that we needed a centralized, efficient system for managing change control and documentation."
When Anallergo first considered implementing a new eQMS with Scilife, they shared the same concerns many other life sciences organizations have. The onboarding process seemed daunting—it’s a comprehensive task that involves training the entire organization, migrating vast amounts of data from the old QMS, and ensuring compliance with strict quality standards and data integrity regulations. It’s easy to see how this process could appear overwhelming, complex, and time-consuming at first glance.
At Anallergo, the onboarding experience was a structured and well-planned process that effectively addressed these concerns. The process began with an initial onboarding meeting, during which Scilife's onboarding team explained the steps involved and outlined the relevant activities. Action items were agreed upon during this meeting, setting a clear path forward. Alessandro remarks on the importance of that first point of contact:
"The initial onboarding meeting provided us with a clear understanding of what to expect, and we left the meeting with a solid plan and path forward."
Following the kickoff, Anallergo received a detailed training onboarding checklist designed for rapid implementation. For Alessandro and his team, the checklist and weekly follow-up meetings helped ensure they stayed on track and promptly addressed any challenges:
"The weekly follow-up meetings were invaluable in keeping us on track and ensuring that any issues were resolved quickly."
The company started with several key QMS solutions: Document Management, Change Control Management, and Training. Anallergo allocated a dedicated team of four and significant time weekly to learning and mastering Scilife. Alessandro notes that the comprehensive training, mainly the video tutorials and Scilife knowledge base, ensured all team members were well-prepared to use the system effectively.
Scilife’s detailed guidance simplified the document import process, enabling a smooth transition to the new eQMS while maintaining data integrity. Validation was a key focus throughout the onboarding, ensuring the system met all necessary compliance standards. Scilife's support team provided consistent guidance, handling every step with care and precision.

Anallergo's team appreciated several features of the Scilife platform. The Document Control module was particularly beneficial, allowing for streamlined document workflows. The centralized platform enhanced communication within the analytics team and other departments, making information sharing and project collaboration more efficient. Alessandro explains:
"The Document Control module has been a game-changer in streamlining our workflows. Scilife's centralized platform has improved our team’s communication and efficiency."
The Change Control Management feature was also highlighted as essential. It enables meticulous documentation and communication of process changes across departments. This integration significantly reduced the time required to publish documents, which was a key advantage for Anallergo’s remote teams.

Reflecting on their experience, Alessandro advises future users to thoroughly organize their documentation before the import process and to fully utilize the training resources provided by Scilife:
“Preparation is key—organize, map, and properly format your documents ahead of your transition and take full advantage of the training resources Scilife offers."
The comprehensive training, mainly the video tutorials, was instrumental in helping their team to quickly get up to speed with the platform. Ensuring all team members engage with these resources can significantly enhance the onboarding experience and lead to more confident and competent use of the system.
The move to Scilife's eQMS has significantly improved Anallergo’s quality management processes. The streamlined document and change control management features have enhanced efficiency and reduced the time spent tracking vital documentation. On the other hand, the centralized platform has improved communication and collaboration among team members, contributing to faster decision-making and a more cohesive work environment.
